We also offer coworking space and virtual office services for when people need a real office address and a place to work that isn’t their bed. We’re located at 105-A Matimtiman St., Sikatuna Village, Quezon City, yes, with real desks and everything.

Job Summary

Job Title: Administrative Assistant
Department: Compliance
Reports to: Admin Manager/ Managing Partner
Work Setup: Onsite – Quezon City
Schedule: Monday to Friday, Regular Office Hours
Salary Range: PHP 18,500.00 + more perks upon regularization! (see details below)

We need someone to help us handle paperwork, remind clients (with care) about deadlines they definitely forgot about, and keep our organized chaos from becoming just…chaos. You’ll team up with our Finance team, basically becoming work besties who share clients and make sure nothing explodes. Your mission, should you choose to accept it: keep our clients legal, happy, and ideally not panicking.

What You’ll Actually Do Every Day

Dealing with Government Permits

  • Handle business permits and registrations with city hall, BIR, and other government offices that love their paperwork
  • Track deadlines like a friendly stalker (it’s not weird, it’s professional!)
  • Double-check documents before sending them out because typos have ruined lives (okay, maybe just days)
  • Send reminders about the upcoming deadline, you’ll master the art of the polite nudge
  • Keep everyone updated on government requirements (which change approximately every 10 days, char!)

Organizing Files and Papers

  • Keep files neat and organized, both digital and physical copies
  • Create reports and summaries that people can actually understand
  • Help monitor office supplies (because running out of paper at the wrong time is never fun)

Talking to Clients

  • Be the main person clients talk to—you and your Finance buddy will handle them together
  • Process their documents, submit requirements, and coordinate schedules
  • Keep clients in the loop with regular updates
  • Answer questions via email, chat, or meetings—basically be a reassuring presence in their compliance nightmare

Contracts, Renewals & Money Things

  • Help with contract renewals, updates, and contract lifecycle management.
  • Suggest our services when they’d actually help, like a good friend giving advice, not a pushy salesperson
  • Track client expenses and budgets, basically keeping tabs on who owes what
  • Prepare invoices and follow up on payments (you’ll learn the delicate dance of “hey, just checking on that payment!”)

Working with Your Finance Teammate

  • Check in regularly because teamwork actually does make the dream work 
  • Share updates and coordinate deadlines so nobody’s left wondering what’s happening
  • Keep things transparent, because honesty is the best policy!

Other Administrative Tasks

  • Support our Admin Associate with other tasks as they come up
  • Jump in where it is needed to keep things running smoothly

Who We’re Looking For

  • Bachelor’s degree or equivalent experience 
  • No prior work experience required—yes, really! Fresh grads are welcome, we see you!
  • Willing to come to the office every day
  • Highly organized, detail-oriented, and able to find that ONE document in a sea of folders
  • Can write clear emails and reports
  • Know the basics of Word, Excel, and Google Drive
  • Comfortable communicating with people (no need to be super extroverted, just friendly)
  • Type at least 45 WPM (hunt-and-peck typists need not apply)
