We also offer coworking space and virtual office services for when people need a real office address and a place to work that isn’t their bed. We’re located at 105-A Matimtiman St., Sikatuna Village, Quezon City, yes, with real desks and everything.
Job Summary
Job Title: GAP Associate
Department: Governance and Admin Provider (GAP)
Reports to: GAP Officer
Work Setup: Onsite – Quezon City
Schedule: Monday to Friday, Regular Office Hours
Salary Range: PHP 18,500.00 + more perks upon regularization! (see details below)
The GAP Associate is a dedicated support person assigned to specific GAP clients, handling their day-to-day tasks, keeping their records organized, and making sure nothing falls through the cracks. Think of it as being someone’s reliable right hand, except you also help with contract coordination and basic finance stuff. Basically, you’ll become the person clients trust to get things done while they handle the bigger picture.
What You’ll Actually Do Every Day
Client Support
- Perform the sacred duties of: encoding records, scanning manual files, organizing digital chaos into actual folders
- Support membership registrations and track payments like a financial detective (for GSP)
- Follow client instructions and internal SOPs (which you’ll read… eventually… we hope)
- Keep task trackers and documentation updated so nobody’s left wondering what’s happening
- Work on client projects like digitizing manual files and automating records
Contract & Billing Support
- Help with contract renewals and all the paperwork that comes with it
- Follow up on invoices and payment status, basically becoming a friendly reminder machine
- Coordinate with the Finance team when documents go missing or things need clarification (detective work, but less dramatic)
Internal Finance Cleaning
- Help reconcile client-related records like timesheets, billables, and expenses (puzzle-solving for people who like spreadsheets)
- Make sure everything’s tagged and documented correctly for GAP client accounts
- Spot inconsistencies and flag them to the GAP Officer or Finance team (be the hero who catches mistakes early)
Documentation & Reporting
- Maintain client files, trackers, and task logs like the organized human you are
- Give regular updates to clients and the GAP Officer so everyone stays in the loop
Authority & Boundaries (What You Can and Can’t Do)
You CAN:
- Talk to clients about assigned tasks (you’re their go-to person!)
- Follow up on invoices and documents (polite persistence is your superpower)
- Execute approved work like the capable person you are
You CANNOT:
- Negotiate contracts or pricing
- Promise timelines or agree to scope changes on your own (we need backup for the big decisions)
Who We’re Looking For
- Bachelor’s degree or equivalent experience
- No prior work experience required—yes, really! Fresh grads are welcome, we see you!
- Willing to come to the office every day
- Highly organized, detail-oriented, and able to find that ONE document in a sea of folders
- Can write clear emails and reports
- Know the basics of Word, Excel, and Google Drive
- Comfortable communicating with people (no need to be super extroverted, just friendly)
- Type at least 45 WPM (hunt-and-peck typists need not apply)
